1Who is responsible for your data

The controller of your data is Ventora Systems SRL, with its registered office at Aleea Călărașilor nr. 5, bl. G, ap. 54, mun. Sibiu, jud. Sibiu, Romania, tax ID (CUI) 54288922, registered with the Trade Register under no. J2026018106000.

2What data we collect

We do not collect special categories of data and we do not ask for card details on the website.

• Data you give us in forms: name, email, company and your message (Contact, Support, “I want access at launch”, “Notify me at launch”).
• Minimal technical data needed for the website to work: IP address, browser type and server logs.
• Your preferences on the website: language, theme and your cookie choice.

3Why we use it and on what legal basis

• To reply to your messages and support requests: steps taken at your request and our legitimate interest in replying (Article 6(1)(b) and (f) GDPR).
• To notify you when an app launches or to invite you to Ventora Hub: your consent (point (a)), which you can withdraw at any time.
• To keep the website secure and working: legitimate interest (point (f)).
• To comply with legal obligations, for example tax obligations or requests from authorities: legal obligation (point (c)).

4How long we keep it

• Contact and support messages: 24 months from the last message, after which we delete them.
• “Notify me at launch” lists and access requests: until launch or until you withdraw your consent. After launch, we delete data collected solely to notify you of the launch, unless we have another legal basis to keep it.
• Technical server logs: 30 days.
• Documents with tax relevance: for as long as accounting and tax legislation requires.

5Who we work with

We work with providers who process data only on our behalf, under a contract and with appropriate security measures. We do not sell or rent personal data to anyone.

6Transfers outside the EU

Some providers are companies outside the European Union or may access data from outside it. In these cases, the transfer takes place only with the safeguards provided for by the GDPR, for example an adequacy decision of the European Commission or the standard contractual clauses approved by it. You can ask us for a copy of the safeguards used.

7Your rights

Write to us at privacy@ventorasystems.com and we will reply within one month at most. In complex cases, this period may be extended by a further two months, and we will let you know.

You also have the right to lodge a complaint with the Romanian Data Protection Authority (ANSPDCP – Autoritatea Națională de Supraveghere a Prelucrării Datelor cu Caracter Personal), B-dul G-ral Gheorghe Magheru nr. 28–30, sector 1, București, www.dataprotection.ro.

• Access to your data and a copy of it.
• Rectification of inaccurate or incomplete data.
• Erasure of your data (the “right to be forgotten”).
• Restriction of processing.
• Data portability, in an easy-to-use format.
• Objection to processing based on legitimate interest.
• Withdrawal of your consent, at any time, without affecting what was done before.

8Children

The website and apps are not intended for children under 16 and we do not knowingly collect their data. If you find out that a child has sent us data, write to us and we will delete it.

9Security

We use encrypted connections, restrict access to data to those who need it, and work with providers that meet recognised security standards.

10Changes

When we change this policy, we update the date above. If the change is significant, we will let you know on the website or by email.
